About The Job:

The Client Relationship Coordinator plays a vital role in ensuring our clients' needs are met, especially during the renewal stage. The client relationship coordinator is responsible for collecting updated documentation, assisting with client inquiries, and providing essential support to our Client Relationship Managers. This position requires excellent organizational skills, attention to detail, and the ability to maintain a high level of confidentiality.

Roles and Responsibilities include but are not limited to:

  • Client Relations
    • Facilitate service proposition and delivery by liaising with clients, following up on documentation, and providing reminders.
    • Address client inquiries professionally and promptly, ensuring high client satisfaction.
  • Client Services
    • Help clients with various requests, such as account opening and document orders, ensuring prompt attention.
    • Manage and monitor the renewal process as per company policy
    • Assist Client Relationship Managers during leaves, maintaining client communication and support.
    • Ensure back up of reception function when required or during staff absences.
    • Train new team members and provide guidance as needed.
  • Counterpart relationships
    • Engage with service providers such as banks and agents to deploy client services
  • Document Management
    • Collect and update client documentation for timely service delivery including renewals as per compliance requests.
    • Prepare and review documents for dispatch, ensuring compliance checklist completion.
    • Organize electronic and physical filing systems and manage document archiving.
  • CRM Maintenance
    • Ensure data accuracy and integrity by maintaining and updating the CRM database.
  • Reporting
    • Prepare reports, including Excel and Power Point documents, and present them to Management.
  • Administrative Duties
    • Perform necessary administrative tasks to support department operations.
    • Provide general administrative support, including correspondence preparation.
  • Projects
    • Engage and deploy actions as per strategic projects assigned by management.
  • Quality and Assurance
    • Handle company and clients’ information with the utmost confidentiality.
    • Adhere with Company policies and procedures to ensure that all client interactions and service deliveries meet the highest standards of excellence
    • Conduct regular checks and reviews to identify areas for improvement and work proactively with teams to address any issues.
    • Ensure adherence to industry best practices and compliance with regulatory requirements, contributing to the continuous enhancement of service quality.

Qualifications and Skills Required:

  • Education: Bachelor's degree in Business Administration or a related field (Master's degree preferred).
  • Experience: 4 to 5 years of previous administrative or client service experience.
  • Language Skills: Fluent in English and at least one other language (multilingual candidates preferred, including French, Spanish, Italian, Arabic, Russian etc.).
  • Communication: Strong written and verbal communication skills.
  • Proactive: Ability to take initiative and be proactive in addressing client needs.
  • Prioritization: Excellent prioritization, time management, and workload management skills.
  • Team Player: Ability to work both independently and collaboratively.
  • MS Office: Proficiency in Microsoft Office suite.
